Repatriation from the United Kingdom to Poland

When someone dies in the UK and is to be returned to Poland for the funeral, the process brings together the UK coroner's formalities, the requirements set by the Polish authorities, and the transport itself. Because of the distance, the deceased travels by air, or from western Poland occasionally by road. We manage the full journey and the paperwork on both sides so that the family in Poland does not have to deal with UK offices in English. Our repatriation hub sets out the essentials if you are just starting.

Taking a body out of England and Wales follows a set UK procedure; the destination country's consular and import requirements then set the standard for the documents that must accompany the deceased and for the way the coffin is prepared. For Poland, an EU member state, those requirements are comparatively predictable.

Telling the coroner: removing a body out of England and Wales

Before a deceased person can be taken out of England and Wales, the law requires that the coroner for the district be given at least four clear days' notice (the Removal of Bodies Regulations 1954). The coroner then issues an acknowledgement — the "out of England" notice — confirming there is no objection to removal, and can release the body sooner where satisfied that no further enquiries are needed. We complete this notification and obtain the acknowledgement on the family's behalf. In Scotland the equivalent authority is the procurator fiscal; in Northern Ireland, the coroner.

Arriving in Poland: the receiving formalities

The deceased travels embalmed and placed in a sealed, zinc-lined transport coffin, accompanied by the UK death certificate, the coroner's out-of-England acknowledgement, and certificates of embalming and freedom from infection. In Poland, the receiving funeral home (zakład pogrzebowy) handles the local formalities and the burial permit in the destination area. We prepare the document file and coordinate directly with the funeral home in Poland. You can read more about repatriating a body from the UK in our guidance.

Preparation and transport by air

The deceased is embalmed and placed in a sealed, zinc-lined transport coffin, which is then crated for the flight. We arrange air freight to the Polish airport nearest the destination and coordinate cargo handling on arrival, or a road transfer for western Poland where that is quicker. Our team collects the deceased from the UK hospital, mortuary or funeral home and manages the journey through to the receiving funeral home in Poland.

Timelines and what affects them

A repatriation from the UK to Poland typically takes 5–7 days from first contact, the deceased travelling over a distance of roughly 1,450 km. The main factors are the four clear days' notice to the coroner (which can sometimes be shortened at the coroner's discretion), the consular certificate allowing repatriation, and transport availability. Where the death has been referred to the coroner for investigation, the timeline can be longer.

This estimate is counted from when the death is registered, and our team does everything possible to complete the repatriation sooner.

Costs and financial support

We confirm a firm quote at first contact, with no hidden costs. The final figure depends on the destination region in Poland, transport costs, and any UK funeral-home and mortuary fees. A UK estate, a life-insurance policy or the deceased's own arrangements may cover part of the cost, and we are glad to discuss this openly.

Why families choose Funero UK

We handle the UK coroner's formalities, the Polish receiving requirements and the transport as one coordinated process, in English and in Polish, keeping both sides of the family informed and remaining contactable 24/7.

Consular involvement

Repatriation to Poland is coordinated with the Polish consular post in the UK, which issues the certificate allowing the repatriation of the deceased into Poland before the coffin is dispatched. We prepare and lodge the consular application on the family's behalf, so no one needs to attend the consulate in person.

  • Embalmer / UK funeral director: carries out embalming and preparation and provides the sealed, zinc-lined transport coffin.
  • Polish consular post in the UK: issues the certificate allowing the repatriation of the deceased into Poland (see the note above).
  • Zakład pogrzebowy in Poland: receives the deceased and arranges the burial permit and funeral in the destination area.

The certificates and permits we prepare on your behalf — open to view the full list.

Repatriation from the UK

Common questions about repatriating someone who has died in the UK to their home country — the paperwork, timescales, costs, and who arranges each step.

What formalities are needed to take someone from the UK to Poland?

Before removal, the coroner must be given at least four clear days' notice and issues an "out of England" acknowledgement. The deceased then travels embalmed in a sealed, zinc-lined transport coffin, accompanied by the UK death certificate and certificates of embalming and freedom from infection.

The Polish consular post issues the certificate allowing repatriation, and the receiving zakład pogrzebowy handles the local formalities. We prepare the file and coordinate both sides.

Is the Polish consulate involved in the repatriation?

Yes. For repatriation to Poland the Polish consular post in the UK issues the certificate allowing the repatriation of the deceased into Poland before the coffin is dispatched.

We prepare and lodge the consular application on the family's behalf, so no one needs to attend the consulate in person.

How long does repatriation from the UK to Poland take?

Typically 5–7 days, the deceased travelling over a distance of roughly 1,450 km. The main factors are the four clear days' notice to the coroner, the consular certificate allowing repatriation, and transport availability.

Where the death has been referred to the coroner for investigation, the timeline can be longer.

Do the UK documents need to be legalised for Poland?

Poland is a member of the Hague Apostille Convention, so where the Polish authorities require a UK public document to be legalised, it can be apostilled in the UK rather than passing through a longer legalisation chain.

The Polish consular post issues the certificate allowing repatriation, and we assemble the document file accordingly.

What does the price include, and when is payment due?

The quoted price covers the coroner notification, embalming, a sealed zinc-lined transport coffin, the consular certificate allowing repatriation, and transport to Poland with handover to the receiving funeral home.

We confirm a firm quote at first contact with no hidden costs; the final figure depends on the destination region and transport costs.

Impeccable service at a difficult time

I can't speak highly enough of Sebastian and the Funero team. I'll admit I was slightly worried about using them as they were far more competitive — but their service was impeccable, with regular, timely communication that was a huge comfort at a difficult time.

They brought our loved one home from Egypt

Our loved one died on holiday in Egypt and, as a family of modest means, what felt impossible was made possible. Funero was the only company that didn't ask for money upfront, which gave us time to fundraise — and their quote was more than reasonable. They kept us informed every step, translated everything, and their reps in Egypt worked so hard for us. We can't thank them enough for bringing our loved one home.
